Introduction

By filling up any form created and maintained by Philippine Esperanto Youth Inc., henceforth known as “the organization”), you give the organization the right to process and maintain your personal data. The organization maintains a database of all members, event participants, and people and organizations related to its activities. However, we understand your concerns about the security and privacy of your data. Therefore, in this constantly expanding virtual world, we constantly make an effort to make sure your data, especially those which you do not usually divulge to the public, are in the good hands of authorized personnel.

The organization makes an active effort to comply with laws and regulations concerning data privacy, mainly the Data Privacy Act of 2012 (Republic Act 10173) of the Republic of the Philippines. Additionally, it observes the policy of the World Esperanto Youth Organization (TEJO), which works with its country- and interest-based member-organizations in compliance with the Regulation 2016/679, also known as the General Data Protection Regulation (GDPR) of the European Union (EU). We ask for your cooperation by supplying us accurate, true and up-to-date information when transmitting your data to us, which can help the organization in its functions.

What data do we collect?

By signing up as a member, renewing your membership, joining an event, or subscribing to our newsletter, you agree to provide us with one or more types of data, including (but not limited to):

• Personal information (name, date of birth, sex)
• Contact information (phone number, email address, mailing address, social media information)
• Language proficiency level in Esperanto
• Occupation, preferences and interests

How will we use your data?

• To create and maintain a central database for the use of the Executive Committee. The organization maintains a comprehensive database of all its members to correctly devise statistics, diversity insights and trends within the organization, which can help in the planning and execution of inclusivity and expansion initiatives;
• To maintain regular communication with the organization’s members and event participants. The organization, using your contact information, can regularly and efficiently contact you regarding activities and events organized by the organization and the Esperanto community in the Philippines;
• To enable internal communication among the organization’s members. The organization aims to facilitate and maintain efficient internal communication among its members to keep the organization smoothly running on different aspects; and
• To provide you with materials adapted to your needs and interests. The organization can use your contact details to send you resources, such as official documents, learning materials, and other paper and digital materials that can help you in your Esperanto language learning or in the fulfillment of your obligations as a member or event participant.

Our commitment: We do not send your data with your explicit and advanced written consent to third parties.

What are your rights regarding your personal data?

• Request more information on your data. You are allowed to write to the Executive Committee (see below) to request a report on what data the organization has on you. You can also request information on how we have used or processed your data up to the present.
• Update or correct your data. At any moment, you can write to the Executive Committee to update or correct existing data if any of it becomes incorrect or outdated.
• Request an investigation or complain about possible misuse of your data. If you have any grounds to believe that your data has been misused, misrepresented or forwarded to any third party without your prior consent, inform us as soon as possible so we can launch an investigation and apply corrective measures.
• Request the removal of your data. Data that is no longer updated or used by the organization, such as of its former members or participants in past events, are usually securely digitally archived and can be used from time to time as references to generate statistics and historical reports of the organization’s past activities. However, it is possible to completely remove your data from our database if you do request so.
